Introduction

PRM (“we,” “us,” or “our”) provides Pastoral Relationship Manager (“PRM”), software that helps churches and ministry teams manage pastoral relationships and communications. This Privacy Policy describes how we collect, use, store, and share information when you use PRM.

Information we collect

Depending on how you use PRM and your organization’s configuration, we may process:

  • Account and profile data: such as your name, email address, and phone number when you sign up, are invited to an organization, or update your profile.
  • Ministry and people data: information your organization imports or connects from third-party systems (for example, Planning Center), which may include names, contact details, and church attendance-related data used for pastoral care and follow-up.
  • Communications metadata and content: records of SMS messages, email activity, and similar touchpoints processed through PRM, as needed to deliver the service.
  • Technical data: such as device/browser type, IP address, and logs used for security, reliability, and troubleshooting.

How we use information

We use the information above to:

  • Provide, operate, and improve PRM, including pastoral relationship management features.
  • Send and facilitate SMS communications initiated through PRM (for example, pastoral follow-up and organizational messaging), in line with your organization’s settings and applicable law.
  • Authenticate users, protect accounts, detect abuse, and comply with legal obligations.
  • Provide support and respond to inquiries sent to the contact below.

How we store information

PRM is hosted on modern cloud infrastructure. Data is stored in databases and related services provided by Supabase and other cloud providers, with appropriate access controls for production systems. We implement administrative, technical, and organizational measures designed to protect information; no method of transmission or storage is completely secure.

Third-party services

We rely on service providers to operate PRM, including:

  • Twilio — SMS messaging and related telephony infrastructure.
  • Planning Center — when your organization connects Planning Center, we process church and people data according to that integration and your organization’s instructions.
  • Resend — transactional and product email delivery.

These providers process data under their own terms and privacy policies. We encourage you to review their documentation for details on how they handle data.

Your choices and rights

Depending on your location and role, you may have rights to access, correct, or delete certain personal information, or to object to or restrict certain processing. You may opt out of non-essential communications where applicable, and your organization may control certain data practices within PRM.

To request deletion of your account data or to exercise other privacy rights, contact us using the email below. We will respond consistent with applicable law and may need to verify your request.

SMS messaging

If you receive SMS messages sent through PRM, message frequency may vary based on your relationship with the sending organization and your interactions. Message and data rates may apply according to your mobile carrier plan.

Opt-out: You can typically cancel SMS messages by replying STOP to the number that messaged you. After you opt out, you may receive a confirmation message. Reply HELP for help, or contact your church or organization directly for pastoral or account questions.
